Meeting Requirements
Chair and Service Positions
- Chair Responsibilities
The Chair is a minimum 3 month term (usually 12 meetings) and is not a shared position.- Facilitate the quarterly business meeting for election of service positions and to discuss any group concerns.
- Maintain and regularly check a public email address for the meeting, where the group safety info and Zoom host key updates will be sent.
- Update meeting information at least quarterly using the SIA Meeting Update form. Meetings that haven’t been updated in the last 3 months will be listed as going dark and will be canceled if they’re not updated in the last 4 months.
- Complete the update form when service position and other meeting info changes.
- Email the administrator if the meeting is going to lack a Chair or be canceled for any reason.
- Review the monthly WWVM meeting list (in the newsletter) and the SIA calendar to ensure that the meeting and chair info is accurate.
- Maintain the script in the library and make any requested changes.
- Announce the 7th Tradition support and copy info from the script into the Zoom chat each meeting.
- Attend most of the meetings (because the chair is responsible for meeting safety) and ensure that each meeting has a moderator (scroll screen, read script, ask members to help with readings, timing, topic selection).
- Facilitate a Group Conscience Safety Check meeting when a participant has egregiously and repeatedly violated the guidelines and report any GCSC outcomes to the administrator.
- Encourage other participants to moderate the meeting and learn zoom controls (as co-moderators, backups, tech hosts, etc).
- Make sure the safety guidelines are read during the meeting when infractions are made.
- Group Service Representative
- Faithfully represent the meeting’s interest at the WSC and report back to the meeting any decisions/announcements.
- Position held by the Meeting Chair if none is yet elected.
- A 6 month term is suggested for GSR, one year preferred.
- Other Positions
Meetings may create other service positions to meet their needs, but they are not required and having them does not change the responsibilities of the Chair. Those include Meeting Membership Coordinator, Secretary, Tech Host, Backup Moderators, and Co-moderators, Zoom host, etc.
Other Meeting Requirements
Particular Populations Meetings
In SIA, meetings for male, female, LGBTQ+, people of color, people with disabilities, and other particular populations are self-identifying. That means that meetings do not get to determine who qualifies as a member of the group. The individual survivor gets to make that determination for themselves. Please note that the SIA website also says “According to tradition, any member of SIA may attend any meeting when they need one.” WWVM will not tolerate abuse of this tradition for the purposes of trolling any meeting.
Zoom Meeting Scheduling And Time Limit
Meetings are usually 90 minutes long (opening and reading for 25, sharing for an hour, and 5 minutes to wrap up, more or less). The meetings require registration so we can better handle safety. 15 minutes before and after the scheduled time is available for fellowship. Going past that time can block other meetings from starting. Please end the meeting on time. Meetings are scheduled 90 minutes apart at least so that meetings in different time zones won’t conflict when on or off Daylight Savings Time.
Starting A New Meeting
Meetings will start after an application is submitted and the application and script are approved. WWVM New Meeting Application
Chair Prerequisites
- 3 months of attendance at WWVM meetings (6 months if starting a new meeting). Exceptions may be made for those with a long history of moderating in other 12 step fellowships and virtual meeting experience.
- Chairs should not have a record of repeated safety violations in any SIA meeting – participants who have been given a ban or timeout (or their equivalent) are not qualified to be a WWVM Chair.
- Attended orientation.
- Ability to operate basic Zoom meeting controls and operate the meeting as Zoom host.
- Be familiar with safety guidelines in full in the WWVM Safety Guidelines and the WWVM Guidelines Training & Reference.
- Be familiar with how safety is handled in WWVM in the WWVM Safety Manual.
Creating New Scripts
You can use the _Open Share Script in the library as a starting point and the Script Requirements document to make sure everything is included.
Meeting Cancelations
- If there is no qualified Chair, the meeting will go dark on the first of the next month.
- The dark meeting is canceled at the end of that month if the admin is not notified that a qualified Chair is elected by the 20th of that month.
- Meetings may be warned and then canceled if they don’t continue to meet the requirements, including orientation requirements, script updates, and failing to apply the 12 guidelines for safe sharing.
- Meetings may open again if a qualified Chair applies.
