How To Use This Script For The WWVM Quarterly Business Meeting
During the quarter, the Chair should ask for items for the agenda and announce the meeting date. Quarterly Business Meetings are usually 15-60 minutes. The agenda and duration is set by the chair including any items sent to the chair for the agenda. Discussion is limited to the agenda, in order.
Open The Meeting
Ask for someone to take meeting minutes, tally votes, and time the shares.
Call to order: This meeting is called to order.
Begin with Serenity Prayer.
READ: We want this meeting to be a safe place. There are appropriate and inappropriate ways of expressing feelings and issues during the sharing time. Business meetings can be triggering to survivors. People may speak strongly or at times become unable to listen. Shares should be confined to the issue being discussed and to the time allotted. This meeting does not condone abusive or controlling behavior in any form. It’s important that we treat one another with the utmost respect. Please remember that we are having this meeting for the good of the entire group.
Process Each Agenda Item
The chair calls on that person who created the agenda item (if not present, the item is skipped). They are asked to summarize the rationale for the item in 30 seconds.
- Ask for a motion to approve the item.
- State the motion and ask for a second.
- Allow each person to comment once for up to 30 seconds. If there is much disagreement, allow a second comment for up to 30 seconds.
- Ask for someone to call the vote
- Tally votes (yes/no/abstain)
- Announce outcome.
If item discussion goes on longer than the time allotted for the item, or there is much disagreement, ask for a motion to table the item. It can be taken up again at the next business meeting.
Close The Meeting
Ask for a motion to adjourn, and a second.
Close the meeting with the Serenity Prayer.
Ask the person taking minutes to send them to the meeting chair.
