WWVM Zoom Tips

This is a quick look at the common features used in WWVM meetings, and the policy around features we do (and don’t) use.

Zoom will look different on different computers and versions.
Many zoom host controls are not available on phone or tablet, so it’s not recommended to zoom host using a mobile device.
You may need to keep software up to date and updates may change settings and/or locations.

The host key option only appears if no one has yet claimed ‘host’. We’ll do this first.

Join the meeting using the zoom link, as an ordinary user
Open participants (at the bottom of the screen) or this may show up in the … or ‘more’ menu
Click ‘Claim Host’ in the bottom right of the participants list … it may be three dots or ‘more’ and then you’ll get the option.
This will pop up: just enter the 6 digit host key and press the button.

Reassigning host – There can be one host and multiple co-hosts. We’ll look at the participants list and assign a host and make everyone else a co-host. If you reassign host, you will be a participant, not a co-host, and will need to ask the new host to make you co-host.
- open the participants list
- click their name
- click more/down arrow/3 dots to the right of the name
- click ‘make co-host’ or ‘make host’ (only the host has the ‘make host’ option)
- click confirm
Mute participants, lower hands – We ask users to mute themselves. If they’re away or making noise during the meeting and don’t respond, they can be muted. Can lower hands after participants have shared.

Chat
- You have some options in chat: we do not change most of these except by group conscience approval by WWVM chairs.
- The chat can be saved ON YOUR DEVICE by clicking under or over the text box in the chat box {mac: options or … pc: …} It may also just say ‘more’.
  1. Once you’ve clicked it, you have a few seconds to click ‘show in finder/folder’

Only co-hosts and hosts should be able to screen share and create breakout rooms. We’ll go through these in the list of options in the next section.
